1. Information we collect

Account information

When you create an account we collect your email address, an optional display name, and a securely hashed password. If you sign in with Google or Apple, we receive your verified email address and name from that provider — we never receive your Google or Apple password.

Meeting recordings and audio

When you record a meeting, the app captures audio through your device's microphone. Recording only happens when you explicitly start it. The audio file is uploaded to our servers so it can be processed into notes.

AI-generated content

From each recording we generate and store a transcript, summary, meeting minutes, key decisions and action items. This content is associated with your account.

Technical information

We collect basic technical data needed to operate the service, such as device type, app version, and — if you enable notifications — a push notification token.

2. How we use your information

• To transcribe your recordings and generate meeting notes.
• To create and secure your account and authenticate you.
• To sync your meetings and notes across your devices.
• To send you service emails (email verification, password resets) and, if enabled, notifications when your notes are ready.
• To operate, maintain and improve the app.

We do not sell your personal data, and we do not use your meeting recordings or notes for advertising.

3. AI processing & third-party services

To generate notes, your meeting audio is sent to Google's Gemini API for transcription and analysis. This processing is governed by Google's applicable terms and privacy commitments for the Gemini API. Audio is sent solely to produce your notes and for no other purpose.

We also rely on these service providers to run MeetNGuru:

• Google (Gemini API) — AI transcription and analysis.
• Google & Apple — optional sign-in.
• Our hosting provider, which stores data on secured servers.

4. Data storage & security

Your account data and AI-generated notes are stored in our database. Audio recordings are stored in private object storage that is not publicly accessible. Passwords are stored only as a one-way argon2 hash. Data is transmitted over encrypted HTTPS connections.

While no system can be guaranteed perfectly secure, we apply industry-standard measures to protect your information.

5. Data retention

We keep your recordings and notes for as long as your account is active so you can access them. You can delete an individual meeting at any time from within the app — this removes its recording and notes. When you delete your account, all associated data is removed (see Section 7).

6. Your rights & choices

• Access — view your meetings and notes anytime in the app.
• Delete — delete individual meetings, or your whole account and all its data.
• Microphone control — recording requires microphone permission, which you grant and can revoke in your device settings.
• Notifications — push and email notifications are optional.

7. Deleting your account & data

You may delete your MeetNGuru account and all associated data at any time. See our dedicated Account & Data Deletion page for instructions. Account deletion permanently removes your profile, recordings, transcripts and notes from our systems.

8. Children's privacy

MeetNGuru is not directed to children under 13 (or the minimum age in your country). We do not knowingly collect data from children. If you believe a child has provided us data, contact us and we will remove it.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date above and, where appropriate, notified in the app.
